Why switch from paper and pen?

Treatwell Connect offers you a simple and safe online alternative to better manage your diary, your clients, and your business. What's more, Connect is totally free.

The main benefits of using an online diary are:

  • Information available to everyone, all the time. When using a diary that's online, any team member can access information relevant to them anytime from any device: desktoptablet or a smartphone. Connect lets you and your Team manage your diary on the move.
     
  • Make your availability instantly accessible to customers. Give your customers an easy way to book with you 24x7. Free up your Team from answering calls and emails to do what they do best; give great quality treatments, advice, to build relationships and of course to sell.
     
  • Email and text (SMS) appointment reminders. We will send email and text reminders to your customers automatically, reducing the risk of costly no-shows.

  • Record and track No-shows. If a customer does No-show, you can update their appointment to capture the missed appointment, so next time they try to book with you, you have visibility and can respond accordingly.
     
  • Tracking your business performance with charts and reports. You'll see how addictive that is - always being up to date on how your business is doing, measure employee performance, monitor product up-sell, and check what your top selling services are.
     
  • Client information at your fingertips. Information about your customers is available in one place, along with their booking history and notes.

  • Retention marketing. Simple CRM lets you filter your clients by factors such as Last Visit and market to them via email to encourage repeat bookings. Tailoring emails to customers allows you to engage and inspire them, helping you drive revenue and build loyalty.
      
  • Safe and sound. It's secure, it's always available, it's safe. We don't use any data for marketing purposes; the customer details you add in Connect and safely stored and remain private.


Switching to Connect

The great news is that switching from your pen and paper system to Connect is quick and easy. In fact, you've probably done some of this already. Here's what you need to do in a few simple steps:

  1. Review and finish setting up your menu. Make sure you list all services you provide with durations and prices. Feature up to 5 services/packages to showcase your Top Services, using discounts to attract new customers.
     
  2. Add each of your Team Members, select the services they offer, add their picture. If you want to allow them to log in to Connect, you can control the permissions they will have, making sure they only access the information you're comfortable with (e.g. allow them to manage their diary, but not to see Finance or Client contact details).
     
  3. Update Team member availability if they have any regular days / time off by adding blocks in the Calendar. Just select the day/time and record the Block either as a one off (e.g. an early finish) or a recurring block (e.g. lunch hours or Wednesdays as their regular day off).
     
  4. Upload your Client List. If you have a list of your clients in an Excel file, you can upload their details into Connect in a few clicks, saving you the job of adding their details individually, and meaning you have their details saved ready to book in their next appointment. Go to Clients and click Upload Client List.
     
  5. Add your upcoming appointments into the Calendar. If you can't transfer all your appointments in one go, our suggestion is to choose a date 2-4 weeks from now and start adding all new appointments from that day into Connect while still managing the remaining ones the old way. Once you've done this, you'll be ready to throw away the paper diary and enjoy all the benefits of Connect!
     

Here are a few tips to help you benefit fully from Connect

  1. Confirm your Treatwell bookings ASAP. We send you an email notification for each appointment booking, so check the email address these will get sent to. You can also enable SMS reminders for new bookings by going to Settings > Notifications > Contacting You tab, so you get a text alert to let you know you have a new booking - there's no charge for this. The quicker you respond to bookings, the higher we'll rank you on site as a 'reliable' venue.
  2. Add a booking widget to your website or Facebook page so you can take appointments from your own clients. Go to Settings > Online booking > Booking widget, grab a widget code and add the booking button to your existing website. The widget shows your available appointments from the Calendar you keep up to date on Connect, giving you another channel to fill your appointments.
  3. Don't be afraid to ask for help! Connect is designed to help you manage your business and diary effectively, so if anything doesn't make sense, don't feel shy about asking for our help or advice as we're here to help.
