What is Pay at Venue?
The Pay at Venue option is when a customer selects to pay you direct at the Venue, rather than paying in advance ('pre-paying') their appointment on Treatwell.
How will I know whether a customer has Pre Paid or not?
We're making it as clear as we can for you which bookings have been Pre-Paid, and which ones are Pay at Venue, so you know which customers to collect money from.
Email Notification
When you receive your email notification for an appointment, you'll be able to see whether it's a Pre-Paid or a Pay at Venue booking.
Calendar
Treatwell Pre-Paid bookings will have a ' £ ' in the top right hand corner so you can recognise them quickly. All other bookings are blank. When hovering over appointments from Treatwell, you will see the source as Treatwell, and then either 'Payment: Prepaid by Customer £XXX', or 'Payment: Unpaid £XXX'. You will also see Paid or Unpaid if you click into the appointment.
An hour before the appointment, a ' ! 'will appear in the top right hand corner of the appointment for Pay at Venue bookings from Treatwell (your own direct appointments, and bookings from the Widget, which have always been Pay at Venue, will remain empty).
Completing appointments
As you Complete an Appointment (as a customer leaves it's good to do this to record any additional spend from the customer, and also to easily re-book them) you will see a Still to Pay Calculator, which will show you again whether the customer has Pre-Paid for the appointment.
List of Bookings
Under Reports you can find a List of Bookings. In addition to showing the status of each booking (eg Unconfirmed, Confirmed) you will now see an Unpaid flag for Treatwell Pay at Venue bookings. This Unpaid flag won't be added for your own direct bookings, or those from the widget, as these have always been Pay at Venue, but it will help you identify the new Treatwell Pay at Venue bookings.
What should we do in case of 'no show' appointments?
In the rare case of a customer not showing up for their appointment, make sure to mark the appointment as a No Show to ensure we do not charge commission on that appointment. You will only be able to mark the appointment as a No Show on that day, so make sure to do so immediately. As you mark an appointment as a No Show, the appointment time will be freed back up so we show your availability on Treatwell to help you try and fill that slot.
How does Treatwell commission work?
Treatwell commission for Pay at Venue bookings will be deducted from monies owed to you, to save us invoicing you for our commission for these bookings. To make things clear, we have updated our remittances.
