Managing venue availability in Connect

Treatwell's marketplace is your tool to help fill available appointments with great quality customers. To do so, we need to show customers your real time availability to make sure:

  • we send you bookings exactly when you want them
  • customers have a great experience with you by getting the slot they want without the need to reschedule the appointment
  • we rate you as one of our most reliable venues 

If you've already got your own booking system and do not intend to switch to Connect as your main diary system, the good news is that it's really simple to keep your availability up to date on Connect, alongside your own system.

Working with Treatwell Connect alongside another booking system

First things first:

  1. Set / check your Venue Opening Hours in Settings > Venue Details > Opening Hours
  2. Add each of your Team Members, selecting which services they offer, adding their picture, and allowing customers to select them by name when booking. 
  3. If your Team Members have any regular days / time off, update their availability in the Calendar by adding Blocks. Just click into the Calendar, select the day/time and record the Block either as a a one off (e.g. an early finish) or a recurring Block (e.g. Wednesdays as their regular day off)
  4. Check your Notifications, making sure you receive timely new booking email alerts. You can also enable SMS reminders for new bookings by going to Settings > Notifications > Contacting You tab.

Once that's done, it's just a matter of keeping the Calendar up to date.


Tip

As you add a new appointment into your own diary, simply mirror this in Connect's Calendar. Click Block Time in the right spot on the employee's column, and Save (editing the duration if necessary). 

Simple! Blocking out your appointments takes a matter of seconds and ensures we have your real time availability and can send you customers exactly when you want them, with no time or effort spent re-scheduling appointments and potentially disappointing customers.

Integrating using iCal feed

If you are using an online booking system that supports iCal export, you can hook up both systems together so that your booking tells Connect about your availabilities automatically.

To find out whether your system is supported, speak to your booking system provider about whether they support export of employee calendar as an iCal feed.
